DefectDot was created by Ryan Burge, a construction design and delivery professional with more than ten years of experience across architecture and construction in Australia and New Zealand.
Ryan previously worked as a registered architect and now works on the head-contractor side as a Project Coordinator and Design Manager in Byron Bay. His experience spans residential, mixed-use, commercial, education, government and institutional projects — with a strong focus on design coordination, buildability, consultant management and defect closeout.
The idea for DefectDot came from a recurring closeout problem: defects may be clearly recorded in reports, photographs and registers, but trades can still struggle to identify the exact physical item requiring attention on site. DefectDot was developed to provide the missing physical link between the marker on site, the photograph and the defect register.

The problem we solve
Defect software is excellent at recording and reporting. But it cannot physically point to the scuff on the wall, the loose hinge, or the silicone gap. That last step — the physical identification — has always relied on blue tape, handwritten notes, or a site manager walking each trade through individually.

Every component is being designed to work across the surfaces common in construction closeout — painted plasterboard, glass, stone, laminate, powder-coated aluminium and timber veneer — with clean removal, minimal surface impact, and clear visibility in site conditions.

How It Works
Six steps from discovery to closeout — and the same number runs through all of them.
Why not just use sticky notes? Sticky notes fall off, curl in the weather, and don't photograph clearly. DefectDot's pre-numbered, colour-coded markers are built to stay in place — on floors, joinery and fixtures — so every trade reads a defect the same way, from first walkthrough to final sign-off.

Step 1
Mark it
Choose the right marker for the surface. Apply a numbered adhesive sticker on or next to the defect. For floors or surfaces where adhesive isn't appropriate, use a reusable floor halo. For fixtures, handles or loose items, attach a loop card without touching the finish.

Step 2
Find it
The marker stays on site until the defect is verified and closed. Any trade, subcontractor or inspector who receives the defect register can use the reference number to locate the item — reducing the need for a site manager to escort each trade through individually.

Step 3
Record it
Log the same reference number in your defect register — whether that's Procore, Aconex, Fieldwire, a spreadsheet or the DefectDot paper form. The number in the register matches the marker on site and the photo on file.

Fix it
The trade receives the register entry with the reference number and uses it to identify the correct item on site. This helps reduce ambiguity, minimises callbacks and removes the need to walk through each defect location together.

Verify it
The site team re-inspects the same numbered item before signing it off. The marker is still in place, so verification is straightforward and documented. The correct defect can be confirmed before sign-off.

Close it out
Once verified, remove the marker. The defect is closed with a complete chain of evidence: the original marker number, the photo, the register entry, and the sign-off. Clean, confident, done.

Post-its and handwritten notes don't hold up on site — they fall off floors and hardware, curl in the weather, and don't photograph clearly against site lighting. DefectDot's stickers, halos and tie cards are pre-numbered and colour-coded, so every trade and inspector reads defects the same way, with a persistent reference that ties back to your register. It's deliberately simple by design — no RFID, no batteries, no app or login — just a system built to actually stay in place until the defect is closed. It also works well earlier in a project too, for an informal builder or architect walkthrough ahead of the formal defect register.
Two options, depending on your situation. If you're still on the same project and need more stickers than your kit's original 200 per category, a Sticker Extension Pack continues on from 201 onward (or your own custom range). If you're starting a new project once your kit's stickers are fully used, a Sticker Refill Pack restocks your full set from 001 again — no need to buy a new box, halos, tie cards or soft loops.
